Full List of Hacker Dojo Policies
Goal: to fully enumerate all the policies we came up with over the last year, and to have them all in one place. We may want to reduce/modify this list through voting.
Facilities
- Sign-in. All members and guests must sign-in when they arrive at the Dojo each day. Those that do not sign-in or do not accept our policies may not stay.
- 100% Communal. You may not store personal belongings. All space is communal space: first-come first-serve. Any equipment left at the Dojo is done at your own risk and may be used by others. Donated or loaned items may be damaged or removed, and the Dojo is not liable.
- Parking. Look at the parking map to find appropriate places to park. Cars parked in other tenant's spaces or left unattended may be towed.
- Sleeping. It is OK to crash at the Dojo if Happy Hour runs late, for example, but no one may use the Dojo or its parking for sleeping twice in a row or as a residence.
- Keep the Place Nice. Please clean up any mess you make. We have cleaning supplies in the kitchen closet.
- Animals. No pets. The landlord has forbidden them in our lease.
- Breaking Things. Some glasswork pieces cost up to $7,000. If you break parts of the Dojo, you are financially responsible for replacing them.
- Donations. Before you bring in a donation, please work with the directors to be sure an item will be useful to the membership. Some things are always welcome such as LCD monitors.
- Hold Harmless. Visitors, members, and other participants at Hacker Dojo, Inc. hereby release, discharge and agree to hold harmless the Hacker Dojo, Inc. and its directors, members and volunteers from and against any liability as a result of any harm, damage, loss suffered to said visitors, their work, equipment used, personal property or personal injury suffered during the participation or attendance at Hacker Dojo.
- Dangerous and Otherwise Awesome Science. No science which requires a fume hood and no pathogen-related research. Please always be considerate of the safety of other people at the dojo. No science where food is stored for eating.
- Refrigerator. The food in the fridge is for everybody. If you take something, try to donate something.
- Cubby #3. The small office ("cubby") next to the storage area may be reserved for private use. A clipboard signup sheet will let people reserve slots in one hour increments. No one person can sign up for more than two slots in one day. It will be considered perfectly OK for a member to ask someone else to leave if they are occupying the room beyond their assigned slot.
- 140D Shower: The shower in 140D is for member use only.
Membership
- Membership. Membership costs $100/mo with discounts for available hardship cases and family plans (as approved by treasurer@).
- Keys. Members get a key to the dojo after being a member for 30 days.
- Accounts. All members are given Hacker Dojo accounts when they become members. It is how members schedule events, access financial documents, and do other important things.
Visitors/Drop-Ins
- Guests. Guests are welcome at Hacker Dojo, and are encouraged to donate $10/day.
- Drop in Privileges. Guests do not get accounts, rights to attend events for free, access to the member's wifi, or voting rights.
- Children. It is okay to bring children to the Dojo, just as you would any other guest, so long as you assume full responsibility for them and ensure they don't detract from members' experience of the Dojo.
- Not a Public Facility. Non-members are at the Dojo as guests of the Dojo and may be asked to leave any time without a needed reason.
Sponsorships
- Sponsorship Rights. Unless given a special exemption by a director, sponsors do not receive special privileges within the Dojo, for example being able to reserve rooms, or being whitelisted for events (sponsors must apply to hold events like everyone else, and must receive the usual member buy-in).
Events
- Schedule
Dojo resources are allocated on a first come, first serve basis. Avoid scheduling major events on the same day. Otherwise, expect an Events Coordinator to suggest an alternate time or room.
- Presence
You or one of your delegates must be physically present to host the entire event. Delegates must also be members of Hacker Dojo, and must be arranged prior to the event's submission. As event host, you take full responsibility for ensuring the event runs smoothly and the rules are enforced. If the event is cancelled, you are responsible for cancelling the event on this system and posting notice to all forums in which you advertised the event.
Do not submit events on behalf of other people -- if someone else wants to hold an event, have them fill out the application.
- Approval
The event must be approved by Event Coordinators. We reserve the right to refuse approval of events that are not considered in the spirit of Hacker Dojo or any other reason. Important: Do not advertise your event externally until after your event is approved by Hacker Dojo. Not all events get approved. No member may approve their own event.
- Cancellation
If the event is cancelled, your event host is responsible for cancelling the event on this system and posting notice to all forums in which you advertised the event.
- Setup
You are responsible for your event setup. This may require setting up a day early (or at least an hour or two early!), finding projectors, moving furniture, etc.
In order to prepare you may book a separate event for the same space, just create a new event and select Setup Time as the event type.
- Parking
We have strict parking rules that you need to convey to guests. If large enough, you may need a staff member to direct parking.
- Sign-in
We require your guests to sign in with our sign-in kiosks for liability reasons. This information also helps support the Dojo by giving insight into member conversions from your event.
- Blurb
You or another member should give an introduction to Hacker Dojo before the event starts. This may include mentioning Hacker Dojo sponsors but shouldn't be longer than a couple minutes.
- Cleanup
Please clean up after your event! Return it to the way you found it at the very least. Consider getting guests to pitch in. Excess trash which does not fit in the dumpster must be hauled away.
- Supplies
Please refill supplies consumed. If you have a large event, your guests will consume shared resources such as snacks, toilet paper and other consumables.
- Damages
You are held responsible for damages to Dojo facilities and equipment during your event.
- Member Rights
No portion of the Dojo is ever closed to members. Members can participate and ask questions for free. Organizers still aren't expected to provide extra materials associated with the event (instructional materials, swag, services outside the event) to members. You must make sure the Dojo policies on member rights are not violated.

Right to Charge
Event Holders may charge for meetings and materials provided they understand the Dojo members may sit in without paying.

No Dojo Commission
The Dojo never demands money for holding meetings.

Dojo Branding
Any event or party with the name “Hacker Dojo” in the title must be approved by the Board of Directors.

Garbage
The event holder is responsible for emptying all garbage and recycling cans inside the Dojo as part of clean-up. Any garbage from events that does not completely fit inside the dumpsters must be hauled away by the event host. South Bay Haul Away is a company event hosts have enjoyed working with in the past. Responsibility
Event hosts are responsible for all rules enumerated on http://events.hackerdojo.com/new; a failure of an event host to make a good-faith effort to meet these responsibilities (including but not limited to cleanup, parking management, and presence) will result in suspension of event hosting privileges for that member for a term of 45 days.

RSVP
Members can RSVP to an event host at least 48 hours in advance to reserve space to attend. If an event room has space left after considering RSVPs, members can be in it with or without a reservation.

Cubbies
When an event is reserved for Cubby 1 or Cubby 2, that entitles the event host to the room. The event host can kick people out (including members).

Structured Layout Rooms
A structured layout room is a room where the furniture is a) recommended not be moved and b) the layout (furniture & similar) MUST be returned to how it was after use. Operations has the ability to modify the list outside of the PBW process. The list of structured layout rooms are:
- The electronics lab
- The gaming nook
Policy Process
- No Reimbursements. Hacker Dojo does not reimburse members for purchases without prior approval by directors.
- Do-ocracy. If you have a change you want to see happen, lead the way. If you want a knitting circle, start one. If you want a book circle, lead one. If you want to build a winning robot, start designing.
- New Policies. Members are welcome to vote new policies into place, according to the process outlined at http://wiki.hackerdojo.com/PBW.
- Directors Discretion. Directors have discretionary review for all policies, and may change policies at will. For example, directors may override rules incompatible with state laws, our lease, or incompatible with Hacker Dojo's vision.
